Unless otherwise stated, Sofie Hoste is responsible for the personal data we collect and to which this Privacy Statement applies.
This Privacy Statement explains what personal data we collect and how we use it. Please read this Privacy Statement carefully, as it contains essential information about how your personal data is processed and which cookies are used.
We hereby respect your privacy and your rights to control your personal data.
1. Personal data
We process data that you voluntarily provide to us when requesting information, making an appointment, sending a request, registering for a training course or the collaboration we enter into. More specifically, this may include your name, e-mail address, address, telephone number and information regarding. invoicing data (such as SME portfolio - normally from May or June 2021).
In addition, we also automatically collect data about the use, access or interaction with one of our websites through cookies (Google Analytics) and similar technology. However, this data is not linked to the user database and is automatically deleted after 7 days.
Finally, we may receive information about you from other sources, including third parties, such as partners with whom we jointly provide services or conduct marketing activities. We may also receive information about you from social media platforms, for example when you interact with us on those platforms. We protect information we receive from third parties in the same manner as described in this Privacy Statement.
2. Security and storage
We take the processing of your personal data very seriously and try to provide the necessary technical and organizational measures to protect your personal data and help prevent theft, misuse and unauthorized access, provision, modification and destruction of your information.
We regularly check our systems for possible security risks and attacks. However, we cannot guarantee the security of any data you transmit. If there is a breach, we will respond quickly and the parties involved will be informed.
The personal data collected is stored and processed in Belgium, at our registered office. If the data is stored with external service providers with servers outside the European Union, the processing is done in accordance with the EU-US Privacy Shield Framework.
The collected data only passes through a secure connection to the various servers.
3. Access and transfer to third parties
In order to process your personal data, we grant access to our employees. However, we guarantee a similar level of protection by making contractual obligations enforceable on these employees and appointees, which are similar to this Privacy Statement.
The personal data you provide will not be sold to or shared with third parties, except for external suppliers who provide services such as website management and hosting, providing training, processing invoicing data (including SME portfolio) and e-mail communication. However, we will only share your personal information as necessary, such as to complete a registration or provide services you have authorized, and only with agents working on our behalf for the purposes described in this Privacy Statement. The personal data collected are only used for offering our services, managing and processing your registration or application (process and application management, invoicing, etc.) or in the context of our collaboration. 6. Legal grounds
The personal data collected is processed on the basis of Article 6.1.a (consent), Article 6.1.b (necessary for the execution of an agreement) and Article 6.1.f (legitimate interests) of the General Data Protection Regulation, for example to process your registration or application to register, to inform you with newsletters and giveaways, to analyze/improve our services and the content of our processes and inform you about this, to inform you of software updates or for administrative, fraud detection or legal purposes.
This Privacy Statement and the double opt-in system used ensure that you can give your consent freely, explicitly, unambiguously, actively and informed.
7. Retention period
Depending on the processing purpose, the personal data that have been processed will be retained for 24 months. However, certain data will be kept for a longer period (maximum 5 years) so that we can, among other things, comply with legal and accounting requirements. After this period, we will irrevocably delete the data.
8. User Rights and Complaints
As a data subject, you have the right to inspect the personal data processed by us at any time and you can have them corrected if they are incorrect or incomplete, have the data transferred, have their processing limited or have them deleted.
We do not use data that has been processed exclusively by automated means (such as profiling).
